How to run eduTest batch enroll process (data upload); where to get sample files; who can run it

Issue How do you run batch enrollment of users, classes and user associations with classes in eduTest? Where can you get sample files available so that you can test the batch enroll process before batch enrolling all of your data?

Resolution

Refer to the requirements for eduTest Batch Enrollment process (formerly known as Data Upload), then test the process with the sample upload files included here:

 

Note:   eduTest Batch Enrollment is available to users with any of these roles:   District Adminstrator, School Administrator, or Client Administrator.

  1. Refer to the Batch Enrollment Preparation Guide, which gives an overview of the process and includes naming convention guidelines and the file format requirements.

  2. Refer as needed to these FAQs (Frequently-Asked Questions) about eduTest batch enrollment.

  3. Download these samples of the three files required for an eduTest batch enrollment.  Within each file are field descriptors to assist you in their creation.   Create one of each file, and rename each file as follows:

    • sample_user.csv:   This file contains all user information.  
       
    • sample_classroom.csv:   This file contains all classroom information.

    • sample_user_classroom.csv:   This file links the user and classroom files together.


      Notes for user and classroom files:  

      All field headings must be included in the header row, including optional fields.   If you are not using an optional field, the heading needs to be present, but the data fields themselves may be left blank.

      For the entityid field, use the ID that appears for the school in the eduTest District School List Report, e.g. ABCD001-001.   This report is found by navigating to Reports Viewer > View Usage Reports > View District School List.


      Note for all three files:  

      PLATO Learning does not have or create the values for the sisid (student ID), schoolid, and classroomid fields; rather, these come from your district's SIS (Student Information System) database.

  4. Log on to eduTest as a district administrator and select Account Management, then select Batch Enroll.




  5. You will see the page entitled Data Upload Tool: Simulated Data Import:




  6. Read the instructions on the screen to perform a test run of either a full upload (all three files) or a partial upload (classroom and/or user file).   For each batch enrollment file you wish to test (Classroom, User, or User-Classroom), click Browse and navigate to the file on your workstation, then click Upload to begin the test run.

    The file will run through two sets of diagnostics, the first a preliminary check that is run immediately and the second after 4:00 p.m. Central time.   Any errors detected will be e-mailed to you for review and correction.

    If you require assistance with correcting errors in your batch enrollment files, please contact PLATO Support Services.

  7. Once you have verified and corrected any errors in your files, return to the Batch Enroll option.   Check the Real Data Import box in the upper right corner, browse to each of the batch enrollment files, then click Upload to begin the actual batch enrollment into your account.

  8. After you have run your upload, perform the PLATO eduTest Assessment Batch Enroll Check procedure  to check your data.
